The process involved standardizing the treatment and naming of documents

With the development of the GEDIC Project and the creation of the Potenza Documentation Center, which gained an exclusive space in the company's new headquarters and became a source of pride for the owners, it was also proposed to train Potenza's own workforce to carry out the organization and maintenance of Cedoc, implement Arquivar's GED software and conduct an Audit.
The Project
Initially, there was no one person responsible for the collection; each department was responsible for its own documentation. Starting in 2015, with the signing of the contract with Arquivar São José dos Campos and the completion of all necessary studies, document management was gradually standardized. A librarian hired by Potenza monitored the project from the beginning, which made it even easier to implement the new measures within the company.
The implementation and configuration of Arquivar's GED software also played an important role in ensuring the security and traceability of the files. Finally, it was essential to train and qualify bahamas mobile database employees in understanding the GEDIC Project, in using the GED software and in registering documents within the system. Initially, approximately 950 boxes were processed within the collection. Currently, Cedoc has approximately 1,900 boxes and almost 20,000 registered documents.
For about a year, monthly audits of the work being carried out were carried out. With most of the services successfully completed, the migration to ArqGED software , Arquivar's new system with more features and functionalities for managing clients, was also recently completed. Important work to digitize documents will begin in late 2017 and make them available to internal users through ArqGED.
As a result of the success of this project, in September 2017, Potenza received a visit from Ms. Ana Célia Navarro de Andrade, president of ARQ-SP – the Association of Archivists of São Paulo. After closely monitoring the company's work at Cedoc, she issued a Certificate of Compliance with the Association's rules and standards, which attest to the quality of the services provided jointly by Arquivar São José dos Campos and Potenza's employees.
